Position Summary
This part-time position (15 hours per week) serves as the support staff person to the
Wisconsin Institute for Public Policy and Service, and includes broad administrative
program support.
Position Duties
A. Prepare correspondence, minutes, funding applications, grants, slides, and other materials in draft, preliminary, and final formats.
1. Compose and prepare standard correspondence for signature(s).
2. Create typed materials from handwritten copy, notes, forms, preliminary copy, or other media and drafts.
3. Edit materials for grammar, spelling, punctuation, format and other characteristics.
4. Reproduce and distribute prepared materials as required.
5. Prepare presentation materials for meetings, community groups or other purposes.
6. Distribute materials as required in customer friendly formats.
B. Assist in management of time through schedule coordination.
1. Maintain calendar(s) and daily schedule(s) for Institute staff as appropriate.
2. Refer concerns, calls, and contacts to best use all staff time.
3. Monitor calendar and time-sensitive processes.
4. Prepare travel schedules and itineraries.
C. Assist with planning internal and external events and meetings.
1. Coordinate projects with Institute staff.
2. Compile and verify mailing lists to include all appropriate event participants.
3. Maintain computer generated mailing lists.
4. Send correspondence, invitations, acknowledgements, and other correspondence to participants.
5. Make meal, travel, lodging, etc, arrangements/reservations.
6. Assist with summary reports.
D. General office support.
1. Open, sort, and route incoming correspondence for best responses(s).
2. Initiate and follow up on routine correspondence.
3. Establish and maintain files.
4. Attend board meetings, record minutes, and distribute agendas and minutes.
5. Maintain accurate list of Board members.
6. Receive visitors.
7. Other duties as assigned.
Qualifications:
Ability to use Microsoft Office Suite (Word, Excel, PowerPoint, Access)
Willing to work in team environment
Must possess organizational skills
